Step 1: Download the PDF from Barclays
Log in to Barclays online banking at online.barclays.co.uk or open the Barclays app. Select the account you want the statement for, go to Statements, pick the month, and click Download PDF. The file is typically named like Barclays_Statement_2026-03.pdf.
For Barclays Business Banking, log in at smartbusiness.barclays.co.uk, navigate to Accounts, then Statements, select the period, and download the PDF. Business statements may include multiple entities on the same document if you manage several accounts under one login.
Make sure to download the official statement PDF — not a transaction list screenshot. The full statement (with header, balance brought forward, and closing balance) produces the best conversion results.
Step 2: Upload the PDF to pdftoxlsx
Go to pdftoxlsx.com and drag the PDF into the upload area. No account is required for a first conversion. For password-protected PDFs (some Barclays Business and Wealth statements are password-protected), enter the password when prompted.
pdftoxlsx processes the file in 15–20 seconds. Your data is encrypted in transit and deleted within 24 hours.
Step 3: Review the auto-detected layout
pdftoxlsx auto-detects the Barclays statement template — Personal, Premier, Business, Wealth & Investment Management, or credit card. A preview shows the extracted columns: Date (in DD/MM/YYYY format), Description, Amount, Balance, and Currency (GBP for all standard Barclays UK accounts; EUR/USD for multi-currency business accounts).
Verify that the preview matches the Closing Balance on the last page of the PDF. If it does, extraction is clean. For Barclays Business multi-entity statements, each entity appears on its own sheet.
Step 4: Download the Excel file
Click Download .xlsx (or .csv for import tools that don't read Excel natively). The output is ready for Excel, Google Sheets, QuickBooks Online, Xero, FreeAgent, or Sage.
For year-long conversions, drag up to 12 Barclays PDFs at once — pdftoxlsx consolidates them into one .xlsx with a Month column.
What the output looks like
Your Excel file includes standardized columns that work with any accounting software:
- Date — formatted as Excel dates in DD/MM/YYYY (sortable, filterable)
- Description — full transaction description (Direct Debits, Faster Payments, Standing Orders, BACS)
- Amount — negative for debits, positive for credits
- Balance — running balance after each transaction
- Currency — GBP (or EUR/USD for multi-currency business accounts)
Example rows: 02/03/2026 DIRECT DEBIT BRITISH GAS -87.50 | 03/03/2026 FASTER PAYMENT FROM J SMITH +500.00 | 05/03/2026 BARCLAYS CREDIT CARD PAYMENT -1,104.33 | 08/03/2026 BACS CREDIT PAYROLL ACME LTD +3,250.00 | 12/03/2026 STANDING ORDER RENT PAYMENT -950.00
Common edge cases for Barclays statements
Barclays Personal vs Premier layout differences: Premier statements include a wealth summary header with portfolio overview and dedicated relationship manager contact details. pdftoxlsx detects both layouts and extracts transactions identically — the wealth summary is placed on a separate Metadata sheet.
Barclays Business multi-entity statements: If you manage multiple business entities under a single Barclays Business login, the PDF may combine several accounts into one document with separate sections per entity. pdftoxlsx splits these into separate sheets (one per entity) so you can import each to the correct ledger.
Barclays credit card statements (different layout from current account): Barclays credit card PDFs use a different column structure than current-account statements, with separate Purchases, Payments, and Interest columns. pdftoxlsx consolidates these into a single Amount column so the ledger matches the card balance exactly.
Barclays Wealth & Investment Management statements: These complex statements include portfolio sections with asset allocations, fund performance, and transaction summaries. pdftoxlsx extracts the transaction ledger from the banking section and places the investment summary on a separate sheet.
Scanned statements from older branches: Some older Barclays statements or branch-printed PDFs are image-based. pdftoxlsx runs OCR on these; accuracy averages 99%+ on scans at 200 DPI or higher. Re-scan at 300 DPI if you see column drift.
Pending transactions showing as memo entries: Barclays occasionally includes pending or memo transactions (marked with "PENDING" or an asterisk) in the PDF. pdftoxlsx flags these in an optional Notes column so you can filter them out during reconciliation.
Barclays Pingit/bank transfer descriptions (multi-line): Faster Payments and Pingit transfers can have very long descriptions that wrap across two or three lines in the PDF. pdftoxlsx merges these wrapped lines into a single Description cell without losing any text.
International transfers with SWIFT details spanning multiple lines: Inbound and outbound SWIFT transfers include beneficiary details, reference numbers, and intermediary bank information that span multiple lines. pdftoxlsx collapses these into one row, placing the SWIFT reference in the Description and extra details in a Notes column.
Barclays joint account statements: Both account-holder names are preserved in the statement header and written to a Metadata sheet; the transaction ledger is single-flow and includes all transactions from both holders.
Year-end tax summaries mixed with regular statements: Barclays sometimes appends interest summaries or annual tax certificates to the end of a December or April statement. pdftoxlsx separates regular transactions from the tax summary pages so your ledger stays clean.
Frequently asked questions
How do I handle password-protected Barclays PDFs?
When you upload a password-protected Barclays PDF, pdftoxlsx prompts you to enter the password. Enter the password you use to open the statement (usually set when you enrolled in e-statements). pdftoxlsx decrypts the file in memory, extracts the data, and deletes everything within 24 hours.
Can pdftoxlsx handle Barclays Business multi-entity statements?
Yes. If your Barclays Business PDF contains multiple entities or accounts in a single document, pdftoxlsx automatically detects each entity section and places them on separate sheets in the output .xlsx. Each sheet is labelled with the entity name or account number.
What is the difference between Barclays credit card and current account conversion?
Barclays credit card PDFs have a different column layout with separate Purchases, Payments, and Interest columns. pdftoxlsx merges these into a single Amount column (negative for purchases, positive for payments) so the output is consistent with current-account statement format.
Are Barclays Premier statements handled differently from standard?
Barclays Premier statements include additional header sections (wealth summary, relationship manager info). pdftoxlsx detects the Premier layout automatically and extracts transactions identically to standard Personal accounts — the extra header content goes to a Metadata sheet.
Should I choose CSV or XLSX output for Barclays statements?
Choose .xlsx if you use Excel, Google Sheets, or modern accounting software (Xero, QuickBooks Online, FreeAgent). Choose .csv if you need to import into legacy systems or custom scripts. Both formats preserve all data; .xlsx additionally preserves date formatting and column types.
Can I batch-convert multiple months of Barclays statements at once?
Yes. Upload up to 12 Barclays PDFs at once; pdftoxlsx consolidates them into a single .xlsx with a Month column, preserving transaction order. This is ideal for quarterly VAT returns or annual reconciliation.
