Step 1: Download the PDF from HSBC
Log in to HSBC UK online banking at hsbc.co.uk or open the HSBC app. Select the account you want the statement for, go to Statements & documents, pick the month, and click Download PDF. The file is typically named like HSBC_Statement_2026-03_1234567890.pdf for personal accounts, or HSBC_Business_Statement_2026-03.pdf for business accounts.
For HSBC Business Internet Banking, log in at business.hsbc.co.uk, navigate to Payments & Liquidity, then Statements, select the period, and download the PDF.
Make sure to download the official statement PDF — not a transaction list screenshot. The full statement (with header, balance brought forward, and closing balance) produces the best conversion results.
Step 2: Upload the PDF to pdftoxlsx
Go to pdftoxlsx.com and drag the PDF into the upload area. No account is required for a first conversion. For password-protected PDFs (some HSBC Business statements are password-protected), enter the password when prompted.
pdftoxlsx processes the file in 15–20 seconds. Your data is encrypted in transit and deleted within 24 hours.
Step 3: Review the auto-detected layout
pdftoxlsx auto-detects the HSBC statement template — personal, Premier, Advance, Business, or credit card. A preview shows the extracted columns: Date (in DD/MM/YYYY format), Description, Amount, Balance, and Currency (GBP for all standard HSBC UK accounts).
Verify that the preview matches the Statement Balance or Closing Balance on the last page of the PDF. If it does, extraction is clean. For HSBC Business multi-currency statements, each currency appears on its own sheet.
Step 4: Download the Excel file
Click Download .xlsx (or .csv for import tools that don't read Excel natively). The output is ready for Excel, Google Sheets, QuickBooks Online, Xero, FreeAgent, or Sage.
For year-long conversions, drag up to 12 HSBC PDFs at once — pdftoxlsx consolidates them into one .xlsx with a Month column.
What the output looks like
Your Excel file includes standardized columns that work with any accounting software:
- Date — formatted as Excel dates in DD/MM/YYYY (sortable, filterable)
- Description — full transaction description (Standing Orders, BACS, Cheques, Direct Deposit)
- Amount — negative for debits, positive for credits
- Balance — running balance after each transaction
- Currency — GBP
Example rows: 02/03/2026 STANDING ORDER UTILITY COMPANY -142.18 | 03/03/2026 TRANSFER FROM JOHN SMITH +500.00 | 05/03/2026 HSBC CREDIT CRD PAYMENT -1,204.77 | 08/03/2026 BACS CREDIT PAYROLL ACME LTD +3,250.00 | 12/03/2026 CHEQUE DEBIT CHQ 001234 -175.50
Common edge cases for HSBC statements
HSBC UK date format (DD/MM/YYYY): HSBC UK uses British date notation (02/03/2026 = 2 March, not February 3). pdftoxlsx converts HSBC dates to Excel format and preserves the original order.
HSBC Premier vs Advance vs Basic accounts: These account tiers have slightly different PDF layouts (Premier statements include wealth advisor contact info in the header; Advance statements include investment summaries). pdftoxlsx detects all three and extracts transactions identically.
HSBC Business multi-currency statements: If your HSBC Business account holds balances in USD, EUR, or other currencies, the PDF contains separate sections for each. pdftoxlsx splits these into separate sheets (e.g., GBP, USD, EUR) so you can import each to the appropriate ledger.
Scanned or branch-printed HSBC statements: Some older HSBC statements or branch-printed PDFs are image-based. pdftoxlsx runs OCR on these; accuracy averages 99%+ on scans at 200 DPI or higher. Re-scan at 300 DPI if you see column drift.
HSBC credit card statements (separate layout): HSBC credit card PDFs use a different format than current-account statements. Columns include Transaction Date, Posted Date, Description, Debit (purchases), Credit (payments), and Balance. pdftoxlsx consolidates Debit and Credit into a single Amount column so the ledger matches the card footer exactly.
HSBC joint account statements: Both account-holder names are preserved in the statement header and written to a Metadata sheet; the transaction ledger is single-flow and includes all transactions from both holders.
HSBC International (non-UK) statements: HSBC has regional variants (HSBC US, HSBC Hong Kong, etc.) with different PDF templates. This guide covers HSBC UK only.
HSBC account statements with overdraft: If your account goes into overdraft, HSBC marks transactions with OD or displays the balance in red. pdftoxlsx preserves these flags in an optional Notes column so you can filter or alert on overdraft periods.
